Recap Innovations is pleased to announce our new Google Chat integration, delivering native video accessibility notifications directly into Google Workspace. Teams that rely on Google Chat as their primary collaboration hub can now receive real-time updates on transcript completions, audio description exports, voice synthesis tasks, and caption audit results, all without leaving the tools they already use every day.

Why Google Chat Notifications Matter for Video Teams

Organizations processing large volumes of video content face a common challenge: keeping the right people informed at the right time. When hundreds or thousands of files are being transcribed, audio described, and captioned simultaneously, it becomes impractical for team members to manually check on the status of each job. Important deliverables can sit unnoticed for hours, and project timelines slip as a result.

Google Chat notifications solve this by pushing status updates to your team the moment processing completes. For organizations already embedded in Google Workspace, this means video accessibility workflows integrate seamlessly into the communication platform your team is already using.

Notifications That Keep Bulk Processing on Track

The integration delivers notifications for five key processing milestones:

  • Transcript completion alerts notify your team when transcripts are ready for review and editing, with a direct link back to the file in Recap
  • Audio description availability lets reviewers know the moment a new audio description is ready, so they can begin quality checks immediately
  • Audio description export completion delivers download links as soon as export files are generated, whether for integration with a video platform or archival purposes
  • Voice synthesis completion alerts the team when AI-generated voiceover audio has finished processing and is ready for review
  • Caption audit report delivery surfaces comprehensive compliance metrics, including audit level, video counts, and a direct link to the full report

Each notification includes the file name, the team member who requested the task, and action buttons that link directly to the relevant page in Recap. There is no need to search for the file or navigate through dashboards.

Built for Teams Processing at Scale

Asynchronous workflows, synchronous awareness

Bulk video processing is inherently asynchronous. A team member uploads a batch of recordings in the morning, and transcripts trickle in throughout the day as processing completes. Without proactive notifications, coordinators have to poll the dashboard repeatedly, and editors have no way of knowing when their next task is ready.

With Google Chat notifications, each completed job announces itself in a shared space. Coordinators can track progress passively, editors can pick up files the moment they are available, and managers maintain visibility into throughput without requesting status updates from their team.

Reduce turnaround time on large batches

When your team is processing hundreds of videos for a semester rollover, a compliance remediation project with thousands of hours of videos in a large backlog, or a content migration, every hour counts. Notifications eliminate the idle gap between when a file finishes processing and when someone acts on it. Files that previously sat unnoticed for hours get picked up in minutes, compressing overall project timelines significantly.

Keep distributed teams aligned

For organizations with team members across multiple campuses, offices, or time zones, a shared Google Chat space provides a single source of truth for processing status. Everyone sees the same updates at the same time, reducing duplicate work and miscommunication about which files have been reviewed and which still need attention.

Granular Control Over What Gets Sent

Not every notification is relevant to every team. Workspace administrators have full control over which events trigger Google Chat messages:

  • Enable transcript completion alerts for editorial teams that need to review and correct transcripts quickly
  • Turn on audio description notifications for accessibility specialists responsible for quality assurance
  • Activate caption audit delivery for compliance officers tracking remediation progress
  • Disable notifications for automated pipelines that do not require human intervention

This flexibility ensures that your Google Chat space stays useful and focused, rather than becoming a noisy stream of irrelevant updates.

Simple Setup Within Google Workspace

Getting started requires just a few steps:

  1. Create an incoming webhook in your Google Chat space (Google provides a straightforward quickstart guide for this)
  2. Copy the webhook URL
  3. In Recap, navigate to Settings, then Integrations, and paste the URL into the Google Chat configuration
  4. Choose which notification types to enable

The entire setup takes less than five minutes, and webhook credentials are stored securely with encryption at rest and transit. No additional Google API permissions or OAuth flows are required.

A Natural Complement to Your Existing Tools

For teams already using Google Workspace for email, documents, and video conferencing, the Google Chat integration means that video accessibility workflows now live alongside the rest of your productivity stack. Combined with Recap's existing integrations for platforms like Slack, Microsoft Teams, and video hosting providers, this release reflects our commitment to meeting teams where they already work.

Whether your organization is a university managing thousands of lecture recordings, a government agency remediating public-facing video content, or a media production team captioning and describing content at scale, Google Chat notifications help your team stay informed and move faster.
