Why do I need both live captioning and post-production video accessibility for the same event?
Live captioning and post-production video accessibility serve different purposes and audiences, even for the same content:
- Provides real-time access during the live event
- Serves attendees who need captions to participate in real time
- Includes live translations for multilingual audiences
- Required for ADA Title II compliance during live broadcasts
- Adds audio descriptions for visual content (required for WCAG 2.1 AA)
- Provides polished, edited captions for the archived recording
- Creates searchable, FOIA-compliant transcripts
- Ensures the recording meets all video accessibility standards
- Serves viewers who watch the recording later
Key difference:
Live captioning cannot include audio descriptions because they would interrupt the live event or would require additional audio channel encoding from your AV engineers and a dedicated live describer. WCAG 2.1 AA requirements specifically state that audio descriptions are not required for live content, but must be added during post-production if the event is recorded, making live captions and audio descriptions separate services that complement each other to provide complete accessibility for both live attendees and future viewers.
Can I just use the live captions for the archived recording transcript?
While you can use live captions on archived recordings of live events to create a transcript, they won't meet full WCAG 2.1 AA compliance requirements:
- Missing audio descriptions: Live captions don't include audio descriptions of visual content, which are required by WCAG 2.1 AA Success Criteria 1.2.3 and 1.2.5
- Lower quality: Live captions may contain minor errors that are acceptable during a live event but should be corrected for permanent archives
- Limited searchability: Post-production processing adds speaker labels, timestamps, and formatting that make transcripts more useful for public records and search
For organizations subject to ADA Title II (April 2027/28 deadline), archived recordings must meet the same accessibility standards as newly posted content, which requires audio descriptions in addition to captions.
