Recap Now Integrates with Google Meet: Automated Transcription, Audio Descriptions, and AI Meeting Summaries for Every Google Workspace
Recap Innovations is pleased to announce our new Google Meet integration, bringing automated transcription, AI-powered audio descriptions, and intelligent meeting summaries to every Google Workspace, regardless of plan tier. Teams can now connect their Google Meet account to Recap and have recordings processed automatically the moment they become available, with no manual steps required.
The Problem: Google Meet AI Features Are Locked Behind Premium Plans
Google has invested heavily in Gemini-powered features for Google Meet, including automatic note-taking, meeting summaries, and transcript generation. These are genuinely useful capabilities for teams that have access to them.
The challenge is that Gemini for Google Workspace is only available on certain paid tiers: Business Standard, Business Plus, Enterprise Standard, Enterprise Plus, and the Gemini add-on plans. Organizations on Google Workspace Starter, Business Starter, Education Fundamentals, Education Standard, or Frontline plans do not have access to Gemini meeting features at all. Even among plans that support Gemini, administrators must explicitly enable the feature, and not all organizations choose to do so.
This creates an uneven landscape where some teams benefit from automated meeting intelligence while others are left taking notes by hand and manually rewatching recordings. For higher education institutions, government agencies, and nonprofits that often operate on more cost-conscious plans, these AI-powered features remain out of reach.
Recap Brings AI Meeting Intelligence to Every Google Workspace
Our Google Meet integration eliminates the plan-tier barrier entirely. Any Google Workspace user can connect their Google Meet account to Recap and gain access to:
- AI-powered transcription of meeting recordings with speaker identification and high-accuracy output
- AI audio descriptions that make recorded meeting content accessible to blind and low-vision users, meeting WCAG 2.1 AA requirements for time-based media
- AI meeting summaries and recaps that distill hour-long recordings into actionable notes, key decisions, and follow-up items
- Searchable, editable transcripts that your team can review, correct, and export in multiple formats (SRT, VTT, DOCX, plain text)
- Multi-language translation of transcripts for global teams working across language barriers
These capabilities are available to every Google Workspace plan, from Workspace Starter through Enterprise Plus. There are no Gemini prerequisites and no additional Google licensing required.
Automated Processing with Webhook Event Subscriptions
One of the most powerful aspects of this integration is its hands-off automation. Recap uses the Google Workspace Events API to subscribe to real-time events from your Google Meet account. When a meeting ends and a recording becomes available, Recap is notified immediately through a webhook and begins processing automatically.
Here is what happens behind the scenes when you enable automated processing:
- Meeting starts: Recap receives a notification that a conference has begun
- Meeting ends: Recap is notified that the conference has concluded
- Recording available: The moment Google finishes processing the recording file, Recap downloads it and begins transcription
- Transcript generated: If Google produces a native transcript, Recap can import and enhance it alongside its own AI-generated transcript
Your team configures this once and never has to think about it again. Every Google Meet recording is automatically transcribed, summarized, and optionally audio-described without anyone clicking a button or uploading a file.
What Teams Can Actually Do with This Integration
Accessibility compliance at scale
For universities and enterprises subject to ADA, Section 508, or WCAG compliance requirements, the Google Meet integration means that recorded lectures, training sessions, and all-hands meetings are automatically made accessible. Captions and audio descriptions are generated without manual intervention, and compliance gaps are closed before they are even reported.
Meeting recaps that save hours every week
Teams that run five, ten, or twenty meetings per day know how quickly institutional knowledge gets lost. Recap's AI summarization extracts the key points, decisions, and action items from every recorded meeting and makes them searchable. Instead of rewatching a 90-minute recording, a team member can read a structured summary in under two minutes.
Onboarding and knowledge management
New hires can search across months of transcribed meeting content to ramp up on context they missed. Product decisions, technical discussions, and strategic planning sessions become a searchable knowledge base rather than forgotten recordings in Google Drive.
Multilingual teams
Organizations with distributed teams across multiple countries benefit from automatic translation of meeting transcripts. A meeting conducted in English can be translated into Spanish, French, German, Portuguese, Japanese, or dozens of other languages, making the content accessible to every team member regardless of their primary language.
How to Get Started
Setting up the Google Meet integration takes under five minutes:
- Navigate to your Recap workspace settings and open the integrations page
- Click "Add Google Meet account" and authorize Recap to access your meeting recordings
- Click the "Webhooks" button on your connected account to configure event subscriptions
- If your current Google authorization does not include the event subscription permissions, Recap will redirect you to Google to grant the additional scopes
- Select your auto-processing preferences: automatic transcription, audio descriptions, or both
- Click "Configure webhooks" and your setup is complete
From that point forward, every Google Meet recording is processed automatically. You will receive notifications when transcription and audio description tasks complete, and all outputs are available in your Recap workspace.
Frequently Asked Questions
Does this integration work with Google Workspace for Education?
Yes. The Google Meet integration works with all Google Workspace editions, including Education Fundamentals, Education Standard, Education Plus, and the Teaching and Learning Upgrade. There are no Gemini or AI add-on requirements.
How is this different from Google's built-in Gemini meeting notes?
Google's Gemini meeting features are limited to specific paid Workspace plans and require administrator enablement. Recap provides transcription, audio descriptions, and AI summaries regardless of your Workspace tier. Additionally, Recap produces WCAG-compliant audio descriptions and exports in multiple standard caption formats (SRT, VTT, DFXP, TTML, SCC etc), which Gemini does not offer or may struggle to produce reliably.
Do I need to manually upload recordings to Recap?
No. When you enable webhook event subscriptions, Recap is notified automatically when a recording becomes available and processes it without any manual action. You can also manually import specific recordings if you prefer.
What Google permissions does Recap require?
Recap requests read-only access to your Google Meet conference records and your Google Drive files created by Meet (recordings and transcripts). When webhook event subscriptions are enabled, Recap additionally requests permission to subscribe to meeting space events. Recap never modifies or deletes your Google data.
Can I use this alongside Google's native transcription?
Yes. If Google generates a native transcript for your meeting, Recap can import it. Recap can also generate its own AI-powered transcript independently, giving you the option to compare or use whichever version is more accurate for your content.
How long does transcription take after a meeting ends?
After Google finishes processing the recording (typically a few minutes after the meeting ends), Recap begins transcription immediately. Most recordings are fully transcribed within minutes, depending on the length of the meeting.
Does this support audio descriptions for meeting recordings?
Yes. Recap is the leading platform to offer AI-generated audio descriptions for Google Meet recordings. This is essential for institutions that need to meet WCAG 2.1 AA compliance for all time-based media, including meeting recordings used as instructional or reference material.
Can I configure auto-processing per account?
Yes. Each connected Google Meet account has its own webhook configuration with independent auto-processing settings. You can enable automatic transcription for one account and both transcription and audio descriptions for another.
