What is the purpose of this pilot program? This pilot program aims to test a new Software-as-a-Service (SaaS) solution designed to automate the transcription and translation and captioning of university lecture videos. The goal is to improve accessibility, enhance learning experiences, and streamline content management by integrating with popular enterprise video platforms. Additionally, the pilot program will assist participating universities in identifying videos across university media distribution channels, such as department channels on YouTube, that are not yet fully compliant with the Americans with Disabilities Act (ADA) and the deadlines and requirement announced for the Web Content Accessibility Guidelines (WCAG) 2.1 Level AA for early 2026. The SaaS developed by Recap Innovations will provide an easy and intuitive interface for remediating non-compliant university-owned video content that is public facing. Who can participate in the pilot program? This program is available to universities that are interested in testing new technology for automating lecture transcription and translation. Participating departments and remote learning organizations should ideally have an existing video management platform (e.g., Kaltura, YouTube, Panopto, Brightcove, Wistia, Vimeo, JWPlayer etc,) in place. What are the expected outcomes of the pilot program? The primary goals are to assess the accuracy of automated transcriptions and translations, the seamlessness of integration with existing video platforms, and the user-friendliness of the SaaS tool. Universities will also have an opportunity to identify via the platform any university-owned videos that need transcriptions and closed captions to comply with the 2026 deadline for WCAG 2.1. Participant universities will provide feedback on the platform's effectiveness in these areas to refine the product for wider deployment. As part of the pilot, universities will have the opportunity to embed html iframes from the SaaS alongside lecture video content in your LMS, and the iframes will allow students enrolled in the courses to have a consistent way to access, search, and download lecture transcripts in a variety of document formats, including viewing translations of the transcripts and listening to translated voiceovers of the original lecture material. Technology & Integration What video platforms does the SaaS integrate with? The SaaS integrates with several major enterprise video and file platforms, including, but not limited to Kaltura, YouTube, Box, Wistia and Google Drive. We are also exploring integrations with other platforms based on pilot participant feedback. How does the integration work with existing video platforms? Once you connect the SaaS tool to your video platform, it automatically identifies lecture videos, processes them for transcription and translation, and delivers results within the platform. No manual uploads or changes are required once the integration is set up. Participants can still transcribe videos that are external to any integrations by uploading them directly to the transcription portal of the SaaS. Is any special setup or technical expertise required to integrate the tool? The integration is designed to be simple and requires minimal technical expertise. A one-time setup process includes providing API keys or authentication credentials for your video platform. This typically requires short coordination with the admin(s) responsible for management of learning technology platforms, as they have access to create the required OAuth 2 client id and client secret and any necessary API Keys. The SaaS provider's support team will assist with the integration. Transcription & Translation Features How accurate are the transcriptions? The transcription accuracy is highly reliable, but it may vary depending on audio quality, speaker clarity, and technical jargon. Participants will have the opportunity to review and suggest improvements during the pilot. Can Recap handle multiple languages? Yes, Recap offers automatic transcriptions in 116 languages, translations in over 190 languages, including but not limited to Spanish, French, German, Mandarin, and Arabic, and synthetic voice overs in 650 languages, voices and dialects. The quality of translations is continually improved through AI and machine learning. Recap Innovations is the first AI platform to offer an end-to-end voice-to-translated-voice service for higher-ed lecture videos for students, making the spoken word accessible to all people in their own native language. How are the transcriptions and translations delivered? After processing, the transcriptions and translations are available in the video platform as separate text layers embedded in the video player (subtitles or captions) or downloadable transcript files in docx, .srt, .vtt, or .txt formats. Can we customize the formatting of transcriptions or translations? Yes, the system allows for some level of customization, such as exporting of transcripts with or without timestamps, and in a variety of document formats. User Experience & Support How do faculty and students access the transcriptions and translations? Workspace members can access the transcriptions and translations directly within the Recap platform where the lecture is hosted. The tool will automatically display captions during video playback or allow transcript and translation downloads via the embedded html iframe, accessible to faculty and students in your LMS. What happens if the transcription or translation is inaccurate? Every transcript comes with a built-in Word Error Rate analysis, where ground truth transcripts can be transparently compared with hypothesis transcripts. Participants and students as end-users can flag specific errors in the transcription or translation, and make proposed corrections. Workspace members will be notified of pending corrections needing review. The SaaS system may learn from these proposed corrections, improving the accuracy over time. There will also be manual editing options available for faculty and workspace members to make changes directly as needed. What support is available during the pilot program? Technical support will be available via email and a dedicated Slack channel for each participant throughout the pilot program, where participants can hop on Slack video calls with the co-founders or other support staff as needed and with advance notice. If any issues arise, users can contact the support team or support email for troubleshooting assistance. We aim to make this pilot program a collaborative effort, where we will custom-tailor our application to best meet your needs. Privacy & Data Security How is the data (lecture videos, transcriptions, and translations) protected? The SaaS complies with university data security policies and industry standards for data encryption and protection. Video content is stored securely and is processed in a way that ensures privacy is maintained. A copy of the Higher Education Community/Cloud Vendor Assessment Toolkit (HECVAT) report for Recap Innovations is available upon request. Is the transcription and translation data used for any other purposes? No, the data is used solely for the purposes of transcription and translation. It is not used for marketing or other unrelated purposes. For further information, refer to the privacy policy of Recap Innovations. How is student privacy handled with regards to video content? The system adheres to FERPA (Family Educational Rights and Privacy Act) regulations to ensure that student data and videos remain private and secure. Only authorized users, such as faculty and administrative staff, can access the videos and associated transcriptions to make modifications to transcript content. If participants elect to use the embedded html iframe to load the transcripts for their students in the LMS, all students enrolled in the course will have access to the transcript material for that course or video, which is expected as they need it to better understand the lecture material being presented. Program Participation & Feedback How do I sign up for the pilot program? To participate, universities and departments must initiate the application process by signing up for and attending an intro call with the co-founders of Recap Innovations, which can be accomplished by booking a time on their calendar at https://recap-innovations.com/book-a-demo. A representative from the participating department or university will be contacted to discuss the specific needs and setup. Will there be any costs associated with the pilot program? A reduced early adopter fee will be charged to cover the transcription and translation costs incurred due to and based on anticipated or actual usage of the platform. This fee will be lower than the standard pricing and provides participants with access to the tool at a discounted rate during the pilot phase. Feedback collected during the pilot will be used to improve the product, and participants will be given early access to the final version of the tool at discounted rates. How will feedback be collected? Feedback will be gathered through surveys, usage reports, and interviews with participants. Regular check-ins will be scheduled to assess progress and address any concerns. Each participant will have a dedicated slack channel with the developers and co-founders of the SaaS platform, where you can make custom feature requests and we will tailor our platform to best fit your workflows. What happens after the pilot program ends? The pilot program lasts for one semester, for each participating institution. After the pilot program concludes, participants will receive a final report summarizing their usage data, feedback, and the improvements made to the product based on their input. Universities will have the opportunity to continue using the SaaS with the improved final version at a discounted rate. Additional Questions Can the tool handle other types of content besides lecture videos? While the pilot is focused on pre-recorded lecture videos, the tool can potentially be expanded to handle other types of content, such as live meetings, webinars, and interviews, based on user demand and feedback. Recap supports transcribing pre-recorded media, both audio and video, in a variety of formats. Will there be future updates or new features added? Yes, the SaaS tool will continuously evolve with regular updates to improve functionality, add new language support, and enhance transcription accuracy. Participants will receive notifications about updates during the pilot phase. How long will the pilot program last? The pilot program is expected to run for one full semester, providing ample time for testing and feedback. Late participants may be enrolled in the next iteration of the pilot program, which will begin in the following semester. How many courses from our university can participate in the pilot program? Each participating university is required to enroll at least one course that is scheduled to be taught in the upcoming semester with live students. This ensures the tool is tested in a real, active learning environment. However, you are welcome to expand participation to additional courses over the course of the semester as you begin to see value from the tool. Please note that enrolling additional courses beyond the initial one may be subject to an amended pricing structure to account for increased usage and additional transcription/translation costs. The program is flexible, so if you find the tool beneficial, you can scale usage across more departments or courses, with costs adjusted accordingly based on the number of courses and volume of content. What courses from my organization should I enroll in the pilot program? University and college courses offered in Learning Management Systems (LMS) typically fall into three categories: heavy emphasis on many readings, a healthy mixture of readings and lecture video material, and courses that are lecture-heavy with recorded content and have minimal associated readings. We recommend that you enroll your courses that have the greatest amount of video content or length of embedded media, to make the best use of our platform. You are welcome to enroll additional courses beyond the required pilot program minimum.
